1. The Double-Entry System and Ledger Accounts |

The double-entry system is the backbone of all financial accounting. Every transaction has two effects: a debit in one account and a corresponding credit in another. For example, when a business purchases inventory with cash, the Purchases account is debited and the Cash/Bank account is credited. You must be able to identify which accounts to debit and credit using the accounting equation and the rules for assets, liabilities, capital, income, and expenses. Exam questions frequently ask you to complete ledger accounts from a list of transactions, balancing off the accounts at the end of the period.

A common mistake is confusing the debit and credit rules for different types of accounts. Students sometimes debit a liability account when it increases, but the correct rule is to credit an increase in a liability. Another error is recording only one side of a transaction, which violates the double-entry principle. In ledger account questions, forgetting to bring down the balancing figure (the closing balance) to the correct side as an opening balance for the next period often leads to lost marks. Practice writing up ‘T’ accounts carefully, always checking that total debits equal total credits after every entry.

2. Source Documents and Day Books |

Before transactions enter the ledger system, they are recorded on source documents such as invoices, credit notes, cheques, and receipts. These documents are then summarized in the books of prime entry (day books): the purchases journal, sales journal, returns inwards journal, returns outwards journal, cash book, and the general journal. The SQA exam expects you to understand the flow from source document to day book, and then to the ledger. A typical question might give you a list of source documents and ask you to record the transactions in the appropriate day books, explaining why each document is used.

Many students struggle to differentiate between the purposes of trade discounts, cash discounts, and settlement discounts, and how they appear in day books. A trade discount is deducted before the invoice is even issued and does not appear in the books, while a cash discount is offered for prompt payment and is recorded in the cash book and discount columns. Another frequent error is placing returns in the wrong journal: goods returned by customers go in the returns inwards journal (sales returns), while goods returned to suppliers go in the returns outwards journal (purchases returns). Also, never forget to record VAT where applicable, as it forms part of the transaction value in the purchases and sales journals.

3. Cash Book and Bank Reconciliation |

The cash book is both a book of prime entry and a ledger account, covering both cash and bank transactions. It often includes discount allowed and discount received columns. Exam questions might provide a cash book with some missing entries or ask you to balance it off. Bank reconciliation is a crucial control procedure: you compare the bank statement balance with the cash book bank balance, identifying items such as unpresented cheques, uncredited deposits, bank charges, and direct debits. The reconciliation statement itself is a standard format calculation that starts from one balance and adjusts to the other.

A typical error is updating the cash book with items from the bank statement but then incorrectly preparing the reconciliation. Students often forget that bank charges and standing orders/direct debits on the bank statement must first be entered into the cash book before reconciliation. Another pitfall is mixing up which side of the reconciliation to place items: an unpresented cheque is deducted from the bank statement balance, not added. Uncredited deposits are added to the bank statement balance. Also, errors such as a cheque incorrectly entered in the cash book must be adjusted in the cash book first, not directly on the reconciliation statement. Always write ‘Cash Book (Bank columns only)’ or ‘Bank Statement’ to label your answer clearly.

4. Trial Balance and Errors |

A trial balance is a list of all ledger balances at a particular date, with debits and credits in separate columns. Its primary purpose is to check the arithmetic accuracy of the double-entry system. If the totals agree, the books are ‘in balance’, though this does not guarantee there are no errors. The SQA syllabus requires you to distinguish between errors that are revealed by the trial balance (such as a single-entry error, a transposition error, or an addition error in the trial balance itself) and those that are not (errors of omission, commission, principle, original entry, compensating errors, and complete reversal of entries). You must also be able to correct these errors using the general journal, followed by a corrected trial balance.

Students often fail to distinguish between an error of commission (posted to the wrong person’s account of the same type, e.g. wrongly debiting J. Brown instead of J. Braun in the sales ledger) and an error of principle (posted to a completely different class of account, e.g. treating a vehicle purchase as a revenue expense). When correcting errors, a common mistake is to simply delete or overwrite the original entry. The correct method is to pass a journal entry that neutralises the wrong entry and records the correct effect. In the corrected trial balance, remember to adjust the relevant figures by the exact difference caused by the error, and ensure the final trial balance still balances.

5. Accruals and Prepayments Adjustments |

The matching (accruals) concept requires that expenses and revenues are recorded in the period they relate to, regardless of when cash is paid or received. At the end of the financial year, adjustments must be made for accruals (amounts owing) and prepayments (amounts paid in advance). In the SQA exam, you will be given details of bills paid during the year plus opening and closing accruals/prepayments, and must calculate the correct charge to the income statement and the current liability or asset in the statement of financial position.

One of the most common errors is reversing the treatment of opening and closing accruals. For expenses, the formula is: charge to income statement = amount paid during the year + closing accrual – opening accrual + opening prepayment – closing prepayment. Students often add the opening accrual and subtract the closing accrual, which is incorrect because an opening accrual relates to the previous period. Another mistake is forgetting to split a combined payment into both the expense and the prepayment element, or carrying forward the wrong figure to the statement of financial position. Always start with the amount paid, then adjust for timing differences.

6. Depreciation of Non-Current Assets |

Depreciation is the systematic allocation of a non-current asset’s cost over its useful life. SQA Year 10 focuses on two methods: straight-line (equal annual charge) and reducing balance (a constant percentage applied to the net book value). You need to calculate annual depreciation, prepare the provision for depreciation account and the disposal account, and understand how depreciation affects the income statement and statement of financial position. You must also be able to handle part-year depreciation when an asset is purchased or sold mid-year.

Many errors occur in the disposal of assets. Students forget to transfer the original cost from the asset account to the disposal account, or they overlook the provision for depreciation that has been built up. The accounting entries for disposal are: debit Disposal Account and credit Asset Account for cost; debit Provision for Depreciation and credit Disposal Account for accumulated depreciation; record the proceeds of sale as a debit to Bank and credit to Disposal; the balance on the Disposal Account is either a profit (credit) or loss (debit). A classic mistake is to depreciate the asset in the year of disposal when the reducing balance method is used: if the disposal happens early in the year, you still need to calculate depreciation for the months of ownership before the sale. Also, never include land in depreciation calculations, as land is not depreciated.

7. Bad Debts and Provision for Doubtful Debts |

When a trade receivable is certain to be uncollectible, it is written off as a bad debt. The entry is to debit Bad Debts (an expense) and credit Trade Receivables. A provision for doubtful debts is an estimate based on the prudence concept: it reduces the trade receivables figure on the statement of financial position to the expected recoverable amount. You may be asked to create, increase, decrease, or maintain a provision. The adjustment to the provision goes through the income statement as a change in provision for doubtful debts.

The distinction between a bad debt and a provision adjustment frequently confuses candidates. A specific bad debt is a final removal of a customer’s balance, whereas the provision is a general allowance against the remaining receivables balance. When a provision is first created, the full amount is charged as an expense. In subsequent years, only the increase or decrease in the provision is posted to the income statement. A common error is to subtract the provision from the trial balance figure for trade receivables before calculating the new provision, leading to incorrect figures. The correct approach is: take the trade receivables total after writing off any bad debts, calculate the provision percentage on this net figure, then compare with the existing provision to find the increase/decrease. The statement of financial position shows trade receivables minus the new provision.

8. Income Statement for Sole Traders |

The income statement (trading and profit and loss account) calculates the gross profit and profit for the year for a sole trader. The trading section matches sales revenue against cost of goods sold. Cost of goods sold is calculated as: opening inventory + purchases + carriage inwards − returns outwards − closing inventory. The profit and loss section lists other income and expenses, such as rent, wages, depreciation, bad debts, and accruals/prepayments adjustments. You must present the statement in a clear vertical format with appropriate headings.

Misclassifying carriage is a classic exam trap. Carriage inwards (on purchases) is a cost of buying goods and is added to cost of goods sold. Carriage outwards (on sales) is a selling and distribution expense, placed in the profit and loss section. Students also make mistakes with returns: returns inwards reduces sales, returns outwards reduces purchases. Another frequent error is forgetting to adjust for closing inventory in the cost of goods sold, or placing the closing inventory figure on the wrong side of the ledger. Inventory appears in the trial balance only as opening inventory, so the closing inventory is introduced via adjustment. The closing inventory is credited in the trading account (deducted from cost of goods available for sale) and shown as a current asset in the statement of financial position.

9. Statement of Financial Position |

The statement of financial position (balance sheet) shows the assets, liabilities, and capital of a business at a point in time. It follows the accounting equation: Assets = Capital + Liabilities. In the SQA format, non-current assets are listed first with their cost, accumulated depreciation, and net book value. Current assets include inventory, trade receivables (less provision), prepayments, and cash. Current liabilities include trade payables, bank overdraft, and accruals. The capital section shows the opening capital, plus net profit, less drawings, giving closing capital. The statement of financial position is a direct test of your ability to apply the accruals concept and terminal adjustments.

Leaving out items or placing them under the wrong heading is a major source of lost marks. For example, a bank overdraft is a current liability, not a negative asset. Carriage outwards does not appear on the statement of financial position; it is already closed off to the income statement. Another persistent error is incorrectly calculating the closing capital. The correct link is: closing capital = opening capital + profit for the year − drawings. Some students mistakenly add drawings or use gross profit instead of net profit. Always cross-check that total assets equal total liabilities plus the final capital figure. The statement must be clearly labelled with the date ‘as at …’ rather than a period.

10. Ratio Analysis and Interpretation |

Ratio analysis helps stakeholders evaluate profitability, liquidity, and efficiency. Key SQA ratios include: gross profit percentage, profit for the year percentage, return on capital employed, current ratio, acid test (quick) ratio, rate of inventory turnover, and trade receivables/payables days. You will be asked to calculate these ratios, state the formula, and interpret what they mean for the business. Interpretation means discussing whether the ratio is good or bad relative to an industry average or a prior year, and suggesting causes and solutions.

A calculation error often stems from using the wrong base for percentages. Gross profit percentage = (gross profit ÷ net sales) × 100, using net sales (sales − returns inwards), not total sales. Profit for the year percentage = (profit for the year ÷ net sales) × 100. Return on capital employed = (profit for the year ÷ capital employed) × 100, where capital employed is opening capital plus the profit for the year (or closing capital plus drawings, depending on the approach used – the SQA commonly uses closing capital as opening capital + profit − drawings, but you should state your formula with the figures you have). The current ratio formula is current assets : current liabilities, usually expressed as a ratio like 1.5:1. The acid test excludes inventory: (current assets − inventory) : current liabilities. A common mistake is to include bank overdraft twice or omit it entirely from current liabilities. In interpretation, avoid simply saying ‘the ratio increased’; you must link it to business performance, such as ‘a higher gross profit percentage could indicate better control of purchase costs or a change in sales mix toward higher-margin products’.

11. Common Mistakes in Terminal Adjustments |

Beyond individual topic errors, there are cross-cutting mistakes that appear every year in the SQA Accounting exam. The most frequent is the failure to make double entries for adjustments. Every adjustment in the income statement has a corresponding effect in the statement of financial position. For example, an increase in the provision for doubtful debts debits the income statement and reduces the trade receivables figure on the statement of financial position. Treating adjustments in isolation leads to an unbalanced statement of financial position.

Another widespread error is misreading the question regarding the period covered. A trial balance might be extracted after some adjustments have already been made, so you need to be careful when calculating further accruals or prepayments. Students also frequently present final accounts without proper date references or without the balancing totals at the bottom of the statement of financial position. In working notes, always show the calculation of the cost of goods sold, the depreciation charge, and the provision movement. Clear working notes can earn marks even if the final figure transferred to the statement is incorrect. Also, remember to include the word ‘Provisions’ correctly – the provision for depreciation is deducted from non-current assets, while the provision for doubtful debts is deducted from trade receivables. Confusing these two provisions leads to structural errors in the financial statements.

12. Exam Technique and Time Management |

Success in SQA Accounting isn’t just about knowing the theory; it’s about applying it under timed conditions. The question paper typically includes a mix of objective-style questions, short-answer problem solving, and a larger extended response scenario requiring preparation of financial statements. Read the requirement words carefully: ‘Prepare’ means you need to present a formal statement; ‘Calculate’ might only need the working; ‘Show the journal entry’ requires date, debit, credit, and narrative. Always scan the whole paper first, allocate time proportionally to available marks, and start with topics you find most comfortable.

Many students lose marks because they do not show enough workings, especially on ratio calculation questions. Even if the final answer is correct, SQA markers look for the correct formula and a clear substitution of figures. When making correcting entries for errors, do not write explanations in the ledger accounts themselves – those explanations belong in the journal narrative. In the assignment, always provide evidence of all primary records, day books, ledgers, trial balance, adjustments, and final statements. Check your arithmetic by totaling columns as you go along, and leave a few minutes at the end to ensure the statement of financial position balances. If it does not balance, calculate the difference and look for an item of that exact amount that might have been omitted or entered on the wrong side.
