2. The Double-Entry System | 复式记账系统

Every business transaction affects at least two accounts, and the double-entry system records these dual effects. An account is a record of increases and decreases in a specific item, such as cash, inventory or capital. The left side is the debit (Dr) side, and the right side is the credit (Cr) side. The rule is: debit the account that receives value, credit the account that gives value. For assets and expenses, increases are debited, decreases are credited. For liabilities, capital and income, increases are credited, decreases are debited.

The cash book often doubles as a ledger account for cash and bank.

Totals from the day books are posted periodically to the sales, purchases and returns accounts, while individual entries are posted to personal accounts in the sales and purchases ledgers.

The general ledger contains all the main accounts – assets, liabilities, capital, income and expenses. Posting involves transferring amounts from the books of original entry to the correct ledger accounts, ensuring debits equal credits. Each entry should include a date, description and cross-reference to the source document or journal.

Balancing off accounts is a key skill: at the end of a period, total both sides, find the difference, and carry down (c/d) the balance to the next period on the opposite side. For asset and expense accounts, the balance brought down (b/d) will be on the debit side; for liabilities, capital and income accounts, the balance b/d will be on the credit side. Examination questions often require you to balance accounts and interpret the balances in the context of the trial balance.

5. The Trial Balance | 试算平衡表

A trial balance is a list of all ledger account balances extracted at a particular date. Its primary purpose is to check the arithmetical accuracy of the double-entry system – total debits must equal total credits. If the trial balance balances, it indicates that entries have been posted with equal debits and credits; however, it does not prove that there are no errors. If it does not balance, a suspense account is opened to record the difference, pending investigation and correction.

Types of errors that do not affect the trial balance include omission (transaction not recorded at all), commission (entered in wrong account of the same class), principle (confusing capital and revenue expenditure), original entry (wrong amount entered on both sides), compensating error (two errors cancel each other out) and complete reversal (debit and credit entries reversed). You need to be able to identify these errors and make correcting journal entries without changing the suspense account balance.

An accrued expense is an expense incurred but not yet paid; an adjusting entry debits the expense account and credits an accruals liability account. A prepaid expense is an expense paid in advance for the next period; the entry debits a prepaid asset account and credits the expense account. Similar adjustments apply on the income side: accrued income (earned but not received) and prepaid income (received in advance).

In CCEA, you will often be given a trial balance and a set of additional notes at the year-end. You need to calculate the correct expense or income figure for the statement of profit or loss (income statement). For instance, if the trial balance shows insurance expense of £2,400 and there is a prepayment of £300 at year-end, the amount charged to the income statement is £2,400 – £300 = £2,100. Remember also to show prepayments and accruals as current assets or current liabilities in the statement of financial position (balance sheet).

Two common methods are the straight-line method (equal annual charge) and the reducing balance method (a fixed percentage applied to the reducing net book value). The journal entry is: debit depreciation expense, credit accumulated depreciation (a contra asset account). The net book value is cost minus accumulated depreciation.

A provision for doubtful debts is then created based on prudence: debit bad debts expense (increase in provision), credit provision for doubtful debts. At year-end, only the movement in the provision is charged to the income statement. Recovery of a previously written-off debt involves reversing the write-off and recording the cash receipt.

A sole trader prepares two main financial statements at the end of each period: the statement of profit or loss (income statement) and the statement of financial position (balance sheet). The income statement calculates gross profit (sales – cost of sales) and then deducts all operating expenses to arrive at profit for the year. Cost of sales includes opening inventory, purchases less returns, carriage inwards, and closing inventory. Gross profit percentage and net profit margin can be calculated to assess performance.

The statement of financial position shows the financial position at a point in time. Capital at the start of the period plus profit less drawings gives closing capital. The balance sheet also includes any non-current liabilities. The statement of financial position must always satisfy the accounting equation: Assets = Capital + Liabilities.

Liquidity ratios are the current ratio (current assets ÷ current liabilities) and the quick ratio ((current assets – inventory) ÷ current liabilities). An efficiency ratio like trade receivables collection period (average receivables ÷ credit sales × 365) reveals how quickly customers pay.

Examination questions often ask you to calculate a selection of ratios and comment on the business’s performance and financial position.

Cash flow forecasts project expected receipts and payments over a future period, helping management anticipate liquidity shortages and arrange overdraft facilities. The key layout includes opening cash/bank balance, plus receipts from cash sales and trade receivables, total cash available, less payments to suppliers, for expenses and for non-current assets, to find the closing cash/bank balance. An overdraft is shown as a negative balance.

Comparing actual outcomes with budgeted figures (variance analysis) helps identify areas needing attention. A cash budget is not the same as an income statement; the cash budget deals with cash movements only, not profit.

Indirect costs (overheads) cannot be easily traced and must be apportioned and absorbed. The break-even point is the level of output where total revenue equals total costs, and profit is zero. It is calculated as: break-even point (units) = fixed costs ÷ contribution per unit, where contribution = selling price per unit – variable cost per unit.

These techniques appear in the CCEA specification as an introduction to management accounting.
