In simple terms, it tells the story of a business in numbers. It reveals whether a business has made a profit or a loss, what it owns, and what it owes to others.

Let us apply double-entry rules to everyday business events. If a business buys a computer for £800 using a cheque, the asset ‘Equipment’ increases. Using the rule, we debit Equipment with £800. At the same time, the asset ‘Bank’ decreases because money has left the account. To decrease an asset, we credit it, so we credit Bank with £800.

Every time, the total debits equal the total credits, keeping the accounting equation balanced.

A bookkeeper must never alter records just to make the figures look better to the owner.
