Alex has saved up some money and decides to open a second-hand bookshop. She calls it ‘Alex’s Bookstore’. On 1 June, she deposits £5,000 of her own savings into a business bank account. She will operate the shop herself and keep the accounting records manually. This is a simple service-cum-retail business – just right for a beginner’s case study.

2. The Accounting Equation | 会计等式

Before we enter any numbers, let’s recall the most important equation in accounting:

Assets = Liabilities + Owner’s Equity

Assets are what the business owns (cash, books, shelving). Liabilities are what it owes to outsiders (bank loans, amounts due to suppliers). Owner’s equity is the owner’s claim on the assets – it starts with the capital invested and grows with profit. Every transaction will keep this equation balanced. If you ever lose your way, come back to this golden rule.

On 1 June, Alex deposits £5,000 of her own money into the business bank account. The business now has an asset – cash at bank of £5,000. There is no liability because the money comes from Alex herself. So owner’s equity also increases by £5,000, recorded as Capital.

4. Buying Assets and Inventory | 购买资产和存货

On 3 June, the business buys a set of bookshelves for £500 cash. This is a non-current asset – something that will be used for several years. On 5 June, Alex buys a batch of second-hand books for £2,000 cash. These books are inventory (stock) – current assets held for resale.

5. Making Sales for Cash | 现金销售

On 8 June, the business sells books that had cost £500 for £800 cash. This is a cash sale. Two things happen: first, the business earns revenue of £800, which increases owner’s equity (because profit grows). Second, the inventory decreases by the cost of the books sold – £500 – which reduces assets. The full effect on the equation:

6. Making Sales on Credit | 赊销

On 12 June, Alex sells books that cost £200 to a local school for £300 on credit. This means the customer will pay later. The business recognises sales revenue of £300 immediately (accrual concept) and records an asset called trade receivables (debtors) of £300. Inventory falls by the £200 cost of goods sold.

Notice how the profit arises even though no cash has been received yet. This illustrates the difference between profit and cash flow.

7. Paying Expenses | 支付费用

On 15 June, Alex pays £200 rent for the month from the business bank account. Rent is an expense. Expenses reduce profit and therefore reduce owner’s equity. The asset ‘Bank’ decreases by £200.

Trade receivables fall by £150, bank rises by £150. Total assets stay the same, equity is unchanged – the equation remains balanced.

The totals do not match? Let’s recheck. We started with Bank 5,000. Then payments: -500 (shelving), -2,000 (inventory), +800 (cash sale), -200 (rent), +150 (receipt) = 5,000 – 500 – 2,000 + 800 – 200 + 150 = 3,250, not 2,750. I need to recalculate step by step to ensure the case study is correct. Let’s build correct balances: Initial capital 5,000 in bank. Buy shelving 500: bank -500 = 4,500. Buy inventory 2,000: bank -2,000 = 2,500. Cash sale: books cost 500 sold for 800, bank +800 = 3,300, inventory -500 = 1,500 remaining. Credit sale: books cost 200 sold for 300, inventory -200 = 1,300, trade receivables +300. Pay rent 200: bank -200 = 3,100. Receive from debtor 150: bank +150 = 3,250, trade receivables -150 = 150. So bank balance is 3,250. Inventory 1,300, shelving 500, trade receivables 150. So debit total should be bank 3,250 + shelving 500 + inventory 1,300 + trade receivables 150 + cost of sales 700 + rent expense 200 = 6,100. Credits: capital 5,000 + sales revenue 1,100 = 6,100. Yes, it balances. My earlier table had bank 2,750, that was an error. Correct bank balance is 3,250. I’ll fix the table in the final output. So the trial balance matches at 6,100. Good.

Total assets equal total equity plus liabilities – exactly £5,200. The business has no debt, and the owner’s claim has grown from £5,000 to £5,200 thanks to the retained profit.

12. Interpreting the Results | 解读结果

This simple case study shows how every transaction ripples through the accounting system. Key numbers to note: net profit margin (net profit ÷ sales) is about 18% (£200/£1,100). The current ratio (current assets ÷ current liabilities) is not meaningful here because there are no current liabilities, but liquidity is strong with £3,250 in the bank. Alex can now decide whether to draw some profit for personal use or reinvest in more books.
