4. Recording Transactions in the General Journal | 记录交易到普通日记账
The general journal is the book of original entry where transactions are recorded in chronological order before being posted to the ledger. Each entry shows the accounts to debit and credit, together with a brief narration.

5. Posting to Ledger Accounts | 过账到分类账账户
Each journal entry is then posted to the relevant T-accounts (ledger accounts). The left side is the debit side, the right side is the credit side. Let’s look at the Bank account and Capital account as examples.

Notice that the Bank account has both debit entries (money in) and credit entries (money out). After all posting, the bank balance will be calculated.

The Capital account simply shows a credit entry of £8,000 on 1 Oct. Drawings is a separate debit account, not taken from Capital directly until the year end.

6. Balancing Off Accounts | 结平账户
At the end of the month, each ledger account is balanced off. The totals of the debit side and credit side are calculated, and the difference (the balance) is carried down to the next period. For the Bank account above:

All other accounts are balanced similarly. For example, the Equipment account will show a debit balance of £1,500, and the Accumulated depreciation account a credit balance of £12.50. The Purchases account will have a debit balance of £4,400 (3,200 + 1,200).

A trial balance lists all the ledger balances in two columns – debit and credit. It is used to check the arithmetic accuracy of the double-entry bookkeeping. For Sarah’s Craft Supplies as at 31 October 2024, the trial balance would look like this:

Note: We introduced a ‘Cost of sales’ account for the sold goods. The debit and credit totals match, proving the ledger balances are mathematically correct. The trial balance is the bridge to the financial statements.

8. Adjustments: Depreciation | 调整:折旧
Before preparing final accounts, adjustments must be made for items such as depreciation. In this case, equipment costing £1,500 is depreciated at 10% per annum using the straight-line method. For one month (October), the charge is £1,500 × 10% × 1/12 = £12.50.

No closing inventory adjustment is required here because we used the periodic system where all purchases are treated as an expense initially, and cost of sales is recorded at the point of sale. In a full accounting cycle, you would adjust for unsold inventory, but for simplicity we focus on the given transactions.

The income statement (profit and loss account) shows the business’s financial performance over the month. We calculate gross profit first, then deduct expenses to arrive at net profit.

Sarah’s business made a gross profit of £510, but after deducting all operating expenses, there is a net loss of £232.50 for the month. This is not uncommon for a start-up business as initial expenses often exceed early sales.

10. Statement of Financial Position | 财务状况表
The statement of financial position (balance sheet) shows the assets, liabilities and owner’s equity at the end of the period. It is prepared after the income statement so that the net profit or loss can be included in the capital section.

Owner’s equity at 31 October = Initial capital + Net profit (or – Net loss) – Drawings = £8,000 – £232.50 – £200 = £7,567.50.

Wait, the balance sheet does not balance here! Total assets = 1,487.50 + 2,150 = 3,637.50, but equity is 7,567.50. There is a discrepancy because we assumed no inventory on hand, but in reality the business has unsold goods. Additionally, the cash account had an opening balance of zero, but we paid £130 electricity from cash – where did that cash come from? In our initial recording, we assumed Sarah paid electricity from a separate cash float not drawn from the bank. To correct, she must have introduced extra cash, but the case only gave capital of £8,000. Alternatively, we could treat the electricity as paid from the bank, which is simpler. Let’s adjust the case to avoid confusion: assume all payments are from the bank, except for a small cash float, but we will disregard the separate cash account and treat the £130 as a bank payment for consistency. Then the bank balance would be £2,150 – £130 = £2,020? Wait, we already included £130 as a credit to Bank? In our original journal, we recorded 20 Oct: Dr Electricity expense, Cr Cash. But in a typical set-up, if the business has only a bank account, then
