1. Unpacking the OCR Accounting Syllabus | 解读 OCR 会计教学大纲

The OCR IGCSE Accounting syllabus breaks down into distinct sections that progressively build your competence. Understanding this roadmap early will help you allocate revision time effectively and see how topics interconnect.

The syllabus covers the purposes of accounting, sources and recording of data, verification of accounting records, accounting procedures, preparation of financial statements, analysis and interpretation, and accounting principles and policies. You will encounter both the theory and the practical application, with a strong emphasis on double-entry bookkeeping.

Examination consists of two compulsory papers. Paper 1 focuses on theory and multiple-choice questions, while Paper 2 is a structured written paper requiring extended answers and completion of accounting records. Familiarising yourself with the command words such as ‘state’, ‘explain’, ‘calculate’ and ‘prepare’ can significantly boost your exam performance.

2. Core Accounting Principles and Concepts |

Before you record any transaction, you must grasp the fundamental principles that govern accounting. These concepts ensure that financial information is prepared consistently and can be compared across periods and businesses.

The key accounting concepts include business entity, money measurement, going concern, accruals (matching), prudence, consistency, materiality and historical cost. For instance, the business entity concept dictates that the owner’s personal transactions must be kept entirely separate from the business’s financial records.

Similarly, the accruals concept requires that revenues and expenses are recorded in the period they are earned or incurred, regardless of when cash changes hands. The prudence concept ensures that profits are not overstated and provisions are made for all known liabilities. Without these frameworks, financial statements would lack credibility.

3. Double-Entry Bookkeeping: The Heart of Accounting |

The entire accounting system rests on the double-entry principle: every transaction has a dual effect. Once you internalise this logic, you can trace any figure back to its source and ensure the accounting equation always remains in balance.

The accounting equation is the foundation: Assets = Liabilities + Capital. Every debit entry must be matched by an equal credit entry. Accounts are classified as assets, liabilities, capital, income or expenses. To increase an asset, you debit it; to increase a liability, you credit it. This might feel counter-intuitive at first, but with practice it becomes automatic.

A typical entry to record a cash sale would be: debit Cash account and credit Sales account. If you buy inventory on credit, you debit Purchases and credit the supplier’s account (a liability). Always ask yourself: which account receives value (debit) and which account gives value (credit)?

4. Source Documents and Books of Prime Entry |

Before information enters the ledgers, it originates from source documents. These documents provide evidence of transactions and are used to populate the books of prime (original) entry.

Common source documents include invoices, credit notes, debit notes, cheques, receipts and bank statements. Each document has a specific purpose: an invoice records a credit sale, while a credit note is issued when goods are returned or an allowance is given. Recognising these documents and extracting the correct financial data is a vital skill.

The books of prime entry include the sales journal, purchases journal, returns journals, cash book, and the general journal. These specialist journals summarise similar transactions, reducing clutter in the general ledger. For example, all credit sales are listed in the sales journal before being posted to individual customer accounts and the sales account periodically.

5. The Trial Balance: Checking for Arithmetic Accuracy |

The trial balance is a list of all ledger account balances at a specific date, divided into debit and credit columns. Its primary purpose is to verify that the total debits equal total credits, ensuring arithmetic accuracy in the double-entry system.

A balanced trial balance does not guarantee that there are zero errors; it only confirms that debits equal credits. Errors of omission, commission, principle, original entry, compensating errors and complete reversal of entries may still exist. Understanding the types of errors that affect or do not affect the trial balance agreement is a common exam focus.

When the trial balance disagrees, a suspense account is opened to temporarily store the difference while investigations take place. The difference is placed on the smaller side of the trial balance to make it balance. All suspense account entries must eventually be corrected by identifying and rectifying the underlying errors.

6. Preparing Financial Statements for Sole Traders |

The culmination of the accounting cycle is the preparation of financial statements. For IGCSE OCR, you will primarily work with sole traders and learn to construct both the income statement (trading and profit and loss account) and the statement of financial position (balance sheet).

The income statement is split into two sections. The trading section calculates gross profit by deducting cost of goods sold from net sales. The profit and loss section arrives at the profit for the year by deducting operating expenses from gross profit and adding other income. The horizontal and vertical formats are both tested.

The statement of financial position presents the assets, liabilities and capital of the business at a point in time, following the accounting equation. Non-current assets, current assets, current liabilities, non-current liabilities and the capital section must be arranged clearly, with the final closing capital balance reflecting the profit or loss and drawings.

7. Adjustments for Accruals and Prepayments |

To apply the matching concept correctly, you must adjust for expenses and incomes that span accounting periods. Accruals and prepayments are typical adjusting entries tested extensively.

An accrual is an expense incurred but not yet paid by the year-end. For example, if electricity for the last two months remains unpaid, you add the accrual to the expense on the income statement and show the amount as a current liability. A prepayment is an expense paid in advance, which must be deducted from the expense in the income statement and shown as a current asset.

Similarly, income can be accrued (earned but not received) or prepaid (received in advance). These adjustments ensure that financial statements reflect the true profit or loss for the period and present a faithful picture of the business’s obligations and resources.

8. Depreciation of Non-Current Assets |

Non-current assets like machinery, vehicles and equipment provide benefits over several years. Depreciation systematically allocates the cost of such assets over their useful lives, in line with the accruals and prudence concepts.

The two main methods are the straight-line method and the reducing (diminishing) balance method. Straight-line depreciation charges an equal amount each year, calculated as (Cost – Residual Value) ÷ Useful Life. Reducing balance method applies a fixed percentage to the net book value (cost less accumulated depreciation) each year, resulting in higher charges early on.

In the financial statements, the depreciation charge for the year appears as an expense in the income statement. In the statement of financial position, non-current assets are shown at their net book value. Accumulated depreciation is deducted from the original cost. The accounting entries are: debit Depreciation expense, credit Accumulated depreciation.

9. Irrecoverable Debts and Provisions |

When a credit customer fails to pay, the business faces an irrecoverable debt. Provided for under the prudence concept, this ensures receivables are not overstated.

An irrecoverable debt is written off completely: debit Irrecoverable debts expense, credit Trade receivables. A provision for doubtful debts, on the other hand, estimates the amount of receivables that may become uncollectible. The provision is adjusted annually so that the charge to the income statement covers only the increase or decrease in provision.

The double entry for creating or increasing the provision is: debit Irrecoverable debts expense, credit Provision for doubtful debts. For a decrease, you reverse the entry. It’s critical to work out the movement in provision, as the expense reported is the change, not the total closing provision.

10. Bank Reconciliation Statements |

The cash book balance seldom matches the bank statement balance due to timing differences and errors. A bank reconciliation statement bridges this gap and is an essential control tool.

Common causes of differences include unpresented cheques (issued but not cleared), uncredited deposits (recorded by the business but not yet by the bank), and bank charges or interest credited directly by the bank. The reconciliation starts with the bank statement balance and adjusts for these items to arrive at the corrected cash book balance.

Any errors in the cash book must be corrected through journal entries before finalising the reconciliation. The updated cash book balance then appears as a current asset in the statement of financial position. This process also acts as a check against fraud and ensures the business’s cash records are accurate.

11. Control Accounts and Suspense Accounts |

Control accounts serve as a quick check on the sales and purchases ledgers, while suspense accounts house discrepancies temporarily. Mastering these topics sharpens your ability to detect and correct errors efficiently.

A sales ledger control account summarises all transactions relating to trade receivables: credit sales, receipts, discounts allowed, returns inwards, and irrecoverable debts. Its closing balance should equal the total of individual customer accounts. The purchases ledger control account does the same for trade payables.

By reconciling the control account balance with the list of individual ledger balances, you can localise errors. Suspense accounts appear when the trial balance is not balanced, but after correcting errors such as omission or transposition, the suspense account should be eliminated. Rectifying journal entries must include clear narrations explaining each correction.

12. Ratio Analysis for Decision Making |

Accounting goes beyond recording numbers; it involves interpreting them to assess business performance. Ratio analysis transforms raw financial data into meaningful insights for owners, managers and investors.

Key profitability ratios include gross profit margin (Gross profit ÷ Revenue × 100) and profit for the year margin. Liquidity ratios such as current ratio (Current assets ÷ Current liabilities) and quick ratio assess the ability to meet short-term obligations. Efficiency ratios like trade receivables collection period and inventory turnover measure how well resources are managed.

When writing analysis, always compare ratios to prior periods and industry benchmarks. A single ratio means little in isolation; trends and the relationship between ratios reveal the full story. Recognise the limitations of ratios—they are based on historical data and can be affected by different accounting policies.
