1. Overview of the AS OCR Accounting Specification | AS OCR

The course is built around two compulsory examined components, each contributing 50% to the final AS grade. Component 01: Financial Accounting and Component 02: Financial and Management Accounting are both assessed through a 1 hour 30 minute written paper carrying 80 marks. Questions include a mixture of short-answer, data-response and extended-writing tasks that require students to apply concepts to given scenarios.

Component Title Marks Duration Weighting
01 Financial Accounting 80 1.5 hours 50%
02 Financial and Management Accounting 80 1.5 hours 50%

The topics covered across the two components are carefully sequenced to build mastery. Foundation topics such as double-entry and trial balance lead into the preparation of final accounts, adjustments, and the analysis of financial statements, before moving into management accounting areas including cost behaviour, break-even, budgeting and standard costing.

2. The Double-Entry System and Ledger Accounts |

The accounting equation, Assets = Liabilities + Capital, forms the structural backbone of the double-entry system. Every business transaction affects at least two ledger accounts, with the total value of debit entries always equalling the total value of credit entries. This equilibrium ensures that the accounting records remain balanced at all times.

Assets = Liabilities + Capital

In practice, increases in assets are debited while increases in liabilities and capital are credited. Revenues and gains behave like capital (credited when increased), whereas expenses and losses follow the debit rule. Learners must become fluent in recording transactions in T-accounts, posting from subsidiary books such as the purchases journal and sales journal, and balancing accounts at the period end.

A trial balance is then extracted to test the arithmetic accuracy of the double-entry records. A list of all ledger balances is prepared, with debit and credit columns totalled. While a balanced trial balance provides evidence that the double-entry has been applied correctly, it does not guarantee the complete absence of errors of omission, commission, principle or compensating errors.

Account Debit (£) Credit (£)
Cash 8,000
Sales 12,500
Purchases 5,200
Capital 700

3. Control Accounts and Bank Reconciliation |

Control accounts act as summary accounts that verify the accuracy of detailed subsidiary ledgers. The sales ledger control account aggregates all transactions affecting trade receivables, while the purchases ledger control account does the same for trade payables. Totals from subsidiary books and cash records are posted directly into these control accounts, allowing a quick check between the control balance and the list of individual balances.

Bank reconciliation is a separate but equally vital control mechanism. It compares the cash book balance with the bank statement balance and explains the differences through items such as unpresented cheques, uncredited lodgements and bank charges not yet recorded. The final output is a bank reconciliation statement that adjusts the bank statement balance to the corrected cash book balance.

Typical adjustments require students to update the cash book for direct debits, standing orders and interest, before drafting the reconciliation. A correctly prepared statement demonstrates that the remaining difference is due solely to timing differences, confirming the accuracy of the cash records.

4. Preparing Financial Statements for Sole Traders |

For sole traders, the income statement calculates profit by matching revenue earned against the costs incurred during the period. The trading account section derives gross profit by deducting cost of sales from sales revenue. The profit and loss section then subtracts operating expenses to arrive at net profit. Cost of sales is computed as opening inventory plus purchases less closing inventory.

The statement of financial position presents the accounting equation in a vertical layout, listing assets, liabilities and capital as at a specific date. Non-current assets are distinguished from current assets, and long-term liabilities are separated from current liabilities. The capital section is usually shown as opening capital plus net profit less drawings.

Learners must be able to construct these statements from trial balance data, incorporating period-end adjustments such as accruals, prepayments, depreciation and closing inventory. Understanding the link between the income statement and the capital section of the statement of financial position is essential.

5. Accounting Adjustments: Depreciation and Bad Debts |

Non-current assets lose value over time owing to wear and tear, obsolescence or the passage of time. Depreciation allocates this cost over the useful life of the asset. OCR candidates need to be able to calculate depreciation using both the straight-line method and the reducing balance method.

Straight-line: Annual Depreciation = (Cost − Residual Value) ÷ Useful Life

Reducing Balance: Net Book Value = Cost × (1 − r)ⁿ

Where ‘r’ is the annual depreciation rate and ‘n’ the number of years. When a non-current asset is sold, the profit or loss on disposal must be calculated by comparing the sale proceeds with the net book value at the date of disposal, and the asset must be eliminated from the accounts.

Bad debts and the allowance for doubtful debts are further crucial adjustments. When a receivable is deemed irrecoverable, the debtor’s account is removed and an expense is charged to the income statement. An allowance for doubtful debts is created as a prudential measure against potential future losses, and adjustments are made to reflect changes in the allowance each period.

The double-entry for increasing an allowance is: Dr Profit and Loss, Cr Allowance for Doubtful Debts. For a decrease, the entry is reversed. The net trade receivables figure in the statement of financial position is always shown after deduction of the allowance.

6. Inventory and Year-End Adjustments |

Closing inventory is a key adjustment that links the trading account and the statement of financial position. Physically counted and valued at the lower of cost and net realisable value, closing inventory is brought into the books by debiting the Inventory account and crediting the Profit and Loss account (or Trading account). The opening inventory is removed from the inventory account and transferred to cost of sales.

After these entries, the cost of goods available for sale is split between cost of sales and closing inventory. This adjustment ensures that unsold goods are not charged against revenue, thereby correctly matching the cost of goods sold with the sales they have generated.

Accrued and prepaid expenses and revenues must also be accounted for. An accrual increases an expense or income, while a prepayment reduces it. For example, an electricity bill received after the year-end but relating to the current period is accrued: Dr Electricity Expense, Cr Accruals. These adjustments are fundamental to presenting a true and fair view of business performance.
