Communication can be internal, staying within the organisation, or external, crossing the boundary to the outside world. Communication is the process of exchanging information, ideas, and feelings between a sender and a receiver. In a business context, the sender encodes a message, selects a channel, and the receiver decodes the message. Feedback ensures the message has been understood. Without clear communication, misunderstandings arise, leading to errors, low morale, and lost business opportunities.

External communication occurs between the business and individuals or organisations outside, such as customers, suppliers, investors, and the media. Its aim is to build the company image, promote products, handle orders and complaints, and comply with legal requirements.

3. Why Effective Communication Matters | 有效沟通为何重要

First, effective communication reduces misunderstandings. When instructions are clear, employees make fewer mistakes, which lowers costs and improves quality. Moreover, good communication boosts morale and motivation. Workers who are kept informed feel valued and are more committed to the company’s goals. Externally, clear communication with customers builds trust and loyalty, while inaccurate or late information can damage reputation and lead to loss of sales. For instance, if a supplier does not receive accurate delivery instructions, the whole production schedule may be disrupted.

It is usually recorded and can be referred back to. Informal communication, often called the ‘grapevine’, is unofficial and spreads through social interactions among employees. While it can be fast and build relationships, it may also spread rumours and inaccurate information. The grapevine can be useful for management to gauge employee sentiment quickly, but it should not be relied upon for critical information because it often distorts facts.

Downward communication is used to give instructions, set objectives, and provide feedback. Upward communication allows workers to report problems, make suggestions, and give feedback to management. Horizontal communication helps departments collaborate on projects. For example, horizontal communication between marketing and production ensures that promotional promises match production capacity, preventing customer disappointment. An effective organisation encourages free flow in all directions.
