In IGCSE Business Studies, understanding how businesses organise their people and how managers lead, coordinate, and motivate employees is essential. Organisation refers to the way a business is structured to achieve its objectives, while management is about setting goals, making decisions, and guiding the workforce. Together, these two elements form the backbone of every successful enterprise, from a small family-run shop to a multinational corporation.

An organisational structure defines the levels of hierarchy, the chain of command, and the routes through which information flows. Common types include hierarchical (tall), flat, matrix, and entrepreneurial structures. In a hierarchical structure, there are many layers of management, with a clear chain of command from the top down. A flat structure has fewer layers, which can improve communication but may mean each manager supervises more people.

Henri Fayol identified five key functions of management: planning, organising, commanding, coordinating, and controlling. Planning involves setting objectives and deciding how to achieve them. Coordinating ensures all parts of the business work together, and controlling involves monitoring performance and making corrections.

However, it may demotivate employees who feel their opinions are not valued.

7. The Importance of Motivation | 激励的重要性

Motivation is the drive that makes employees work hard and care about their performance. Well-motivated workers tend to be more productive, produce higher-quality output, and are less likely to be absent or leave the business. For a manager, understanding what motivates people is key to reducing labour turnover and recruiting the right talent.

激励是让员工努力工作并关心自己表现的驱动力。受到良好激励的员工往往生产效率更高、产出质量更优,并且较少缺勤或离职。对管理者来说,了解什么因素能激励人,是降低劳动力流失率和招聘合适人才的关键。

Businesses use both financial and non-financial methods to motivate staff. Financial methods include salaries, bonuses, commission, and profit sharing. Non-financial methods involve job enrichment, training opportunities, praise, and a positive work environment. A mix of both is often most effective.

8. Key Theories of Motivation | 主要激励理论

Two motivation theories frequently examined in IGCSE Business are Maslow’s hierarchy of needs and Herzberg’s two-factor theory. Maslow proposed that people are motivated to satisfy five levels of need in order: physiological, safety, social, esteem, and self-actualisation. A manager must recognise which level a worker is on and provide appropriate rewards, such as fair pay for basic needs, team activities for social needs, and challenging projects for self-actualisation.

This theory suggests that simply raising pay will not lead to long-term motivation unless motivators are also addressed.

Good communication ensures that every employee understands the company’s goals and their own role. Poor communication leads to errors, delays, and conflict.

10. Choosing the Right Organisation and Management Approach | 选择合适的组织与管理方法

There is no single correct way to organise or manage a business. The best approach depends on factors such as the size of the firm, the industry it operates in, the culture, and the specific objectives at a given time. For example, a fast-growing technology start-up may benefit from a flat, flexible structure with democratic leadership to encourage innovation. In contrast, a large manufacturing plant producing standardised goods may need a more hierarchical structure with clear rules and some autocratic elements to ensure consistency and safety.
