📚 High-Frequency Topics and Common Mistakes Analysis for Year 9 AQA Accounting | Year 9 AQA

This article highlights the topics most frequently tested in Year 9 AQA Accounting and the common errors students make. Mastering these areas will build a solid foundation for GCSE success. We examine concepts from the accounting equation to bank reconciliations, providing clear explanations and practical examples.

1. The Accounting Equation: A = L + E |

The accounting equation is the backbone of the double-entry system. Assets are resources controlled by the business (e.g. cash, inventory, machinery). Liabilities are amounts owed to third parties (e.g. bank loan, trade payables). Equity represents the owner’s claim on the business after deducting liabilities. Every transaction impacts at least two elements, keeping the equation balanced.

A common mistake is to treat owner’s drawings as an expense. Drawings reduce equity directly; they are not a business cost that appears on the income statement. Another error is misclassifying a loan repayment: reducing the loan liability and decreasing cash does not alter total equity.

2. Double-Entry Bookkeeping: The Golden Rule |

Every transaction has a dual effect: one account is debited and another is credited with the same amount. The rule is: for every debit, there must be an equal credit. Debit does not mean increase or decrease in isolation; it depends on the account type. In asset accounts, a debit increases the balance; in liability and equity accounts, a credit increases the balance.

Students often struggle with ‘debit the receiver, credit the giver’ for personal accounts, and ‘debit expenses and losses, credit income and gains’ for nominal accounts. Practice by analysing cash sales: debit Cash (asset increases), credit Sales Revenue (income increases). A frequent mistake is to credit Cash when a sale is made on credit, forgetting that a receivable is created.

3. Debits and Credits: Common Confusions |

The most frequent error in Year 9 is reversing the debit and credit when recording expenses and revenues. Remember: expenses increase on the debit side; revenues increase on the credit side. For example, paying rent: debit Rent Expense, credit Cash. If you credit Rent Expense, you are incorrectly reducing an expense.

Purchases of inventory follow a similar logic: debit Purchases (an expense), credit Cash or Trade Payables. When inventory is sold, we record the sale and the cost of goods sold with two entries: debit Cash/Trade Receivables, credit Sales; debit Cost of Sales, credit Inventory. Mixing these up distorts both the income statement and the statement of financial position.

4. Classification of Accounts: Real, Personal, Nominal |

Accounts are classified to help apply double-entry rules accurately. Real accounts represent tangible or intangible assets (e.g. Building, Machinery, Goodwill). Personal accounts relate to individuals, firms, or other entities (e.g. Customer X, Supplier Y). Nominal accounts record income, expenses, gains, and losses (e.g. Sales, Wages, Rent).

A typical mistake is treating a prepaid insurance account as a nominal account when it is actually a personal account (asset) until consumed. Students also misclassify drawings as a nominal account; it is a personal account linked to the owner. Getting the classification right prevents errors during final account preparation.

5. Source Documents and Books of Prime Entry |

High-frequency exam questions ask students to identify which source document initiates a transaction and which book of prime entry it is recorded in. Common source documents include invoices (purchases/sales), credit notes, debit notes, receipts, and bank statements. The books of prime entry are: sales day book, purchases day book, sales returns day book, purchases returns day book, cash book, and the general journal.

A common error is recording a credit sale in the cash book. Credit sales go to the sales day book; only cash and bank transactions appear in the cash book. Another pitfall is confusing a debit note with a credit note: a debit note is issued to request a credit note from the supplier, typically when goods are returned.

6. Trial Balance: Purpose and Errors Not Revealed |

The trial balance is a list of all ledger account balances at a specific date, divided into debit and credit columns. Its main purposes are to check the arithmetical accuracy of the double-entry system and to provide a basis for preparing financial statements. A balanced trial balance does not guarantee error-free records; many types of errors remain hidden.

Error Type Trial Balance Affected? Explanation
Error of Omission No Transaction completely omitted.
Error of Commission No Correct amount, wrong personal account.
Error of Principle No Capital and revenue items misclassified.
Compensating Error No Two errors cancel each other.
Complete Reversal No Debit and credit entries reversed.
Error of Original Entry Yes (if only one side wrong) Incorrect amount in both accounts.

Students often assume that if the trial balance balances, no mistakes exist. This is a dangerous misconception. Examiners frequently ask to identify which errors would be revealed by the trial balance (e.g. single-sided entry, transposition error) and which would not.

7. Accruals and Prepayments: Adjusting Entries |

At the end of an accounting period, expenses and incomes must be matched to the period they relate to, regardless of cash movements. An accrued expense is an expense incurred but not yet paid. The adjustment is: debit Expense Account, credit Accrued Expense (liability). For example, accrued electricity: debit Electricity Expense, credit Accrued Electricity.

A prepayment arises when payment is made in advance for a future benefit. Initially recorded as an asset: debit Prepayment, credit Cash. At year-end, the consumed portion is transferred to expense: debit Expense, credit Prepayment. The most common error is debiting the expense at the time of payment and failing to adjust, which overstates expenses and understates assets.

8. Depreciation: Straight-Line vs Reducing Balance |

Non-current assets (except land) lose value over time due to wear and tear, obsolescence, or usage. Depreciation allocates this cost over the asset’s useful life. In Year 9, two methods are tested: straight-line and reducing (diminishing) balance.

Straight-Line: Annual Depreciation = (Cost − Residual Value) ÷ Useful Life

Reducing Balance: Annual Depreciation = Net Book Value × Depreciation Rate

Many students forget to deduct residual value in the straight-line calculation, or they apply the reducing balance rate to original cost instead of net book value. Another pitfall is providing a full year’s depreciation for an asset acquired part-way through the year without prorating. AQA may expect pro-rating monthly unless told otherwise.

9. Bad Debts and Provision for Doubtful Debts |

A bad debt arises when a customer fails to pay, and the amount is deemed irrecoverable. The entry is: debit Bad Debts Expense, credit Trade Receivables. A provision for doubtful debts is an estimate of future bad debts, created to follow the prudence concept. The provision is reviewed and adjusted annually.

A common mistake is to re-create the full provision each year without considering the existing balance. Only the increase or decrease in provision goes to the income statement. For example, if last year’s provision was 500 and this year’s required provision is 700, the expense is 200. Students also confuse writing off a specific bad debt with changing the provision.

10. Income Statement and Balance Sheet Basics |

The income statement calculates profit or loss over a period. Key components: revenue, cost of sales (opening inventory + purchases − closing inventory), gross profit, other income, expenses, and net profit. Typical Year 9 exam questions ask students to complete missing figures using the relationship between these components.

The balance sheet shows the financial position at a point in time: non-current assets, current assets, current liabilities, non-current liabilities, and equity. A recurrent error is misclassifying bank overdraft as an asset rather than a current liability. Similarly, a loan repayable in three years is non-current, but the portion due within one year is a current liability.

11. Capital and Revenue Expenditure: The Critical Distinction |

Capital expenditure buys, builds, or improves non-current assets, bringing long-term benefit beyond the current year. Examples: purchasing machinery, installing a new roof. Revenue expenditure is for day-to-day running costs and maintenance, benefiting only the current period. Treating capital expenditure as revenue (or vice versa) misstates profit and asset values.

A classic exam trap: an ordinary repair is revenue, but a replacement that extends useful life or enhances capacity is capital. Students must justify their classification. Also, acquisition costs like delivery and installation of a fixed asset are capitalised, not expensed.

12. Bank Reconciliation: Why Balances Differ |

The cash book balance and bank statement balance often differ due to timing differences and items known to one party but not the other. An updated cash book is prepared first to record items such as bank charges, standing orders, direct debits, and interest, adjusting the cash book balance.

After updating, a bank reconciliation statement starts with the remaining balance (usually the updated cash book balance) and adds unpresented cheques, then deducts outstanding deposits (or vice versa depending on which balance is being reconciled). The common mistake is to add all unpresented cheques to the bank statement balance and deduct all outstanding deposits, when in fact the direction depends on perspective. If reconciling from bank statement balance to cash book balance: add unpresented cheques, less outstanding lodgements.

Careless arithmetic is another pitfall. Examiners often award method marks, so showing the structured reconciliation is essential even if numbers are slightly off. Always double-check whether you are asked to update the cash book, prepare the reconciliation, or both.
