📚 Common Misconceptions in CIE Accounting Year 12 & How to Correct Them | CIE会计Year 12常见误区与纠正方法

Many Year 12 students following the CIE Accounting syllabus develop persistent misunderstandings that can cost them marks in structured questions and multiple‑choice papers. These errors often stem from rushed learning of definitions, misapplication of double‑entry rules, or confusion between similar concepts. This article identifies the most common pitfalls and shows how to correct them with clear reasoning and worked examples.

1. Misclassifying Capital and Revenue Expenditure |

A very frequent mistake is to treat all spending on non‑current assets as capital expenditure and all repairs as revenue expenditure without considering substance over form. For example, an extension that increases a building’s useful life is capital, but students often expense it.

Correct approach: Capital expenditure brings future economic benefit beyond one accounting period and is recorded as a non‑current asset. Revenue expenditure maintains earning capacity and appears in the income statement. When an asset is improved significantly, the cost is capitalised; ordinary repairs are revenue. Test: does the spending create a new asset or extend the useful life? If yes, capitalise.

A common extension: costs of dismantling an old part before fitting a new engine should be added to the cost of the new engine, not expensed. Keep a clear distinction by asking ‘has the asset been enhanced?’

2. Depreciation: Straight‑line vs Reducing Balance and Part‑year Provisions |

Misconception one: students use the reducing balance method but apply the same rate to the original cost every year. The correct method is to apply the fixed percentage to the net book value at the start of the year.

Misconception two: part‑year depreciation is calculated by simply dividing annual depreciation by 2 regardless of the actual months of ownership. The correct method is to identify the exact number of months the asset was in use and prorate accordingly. For an asset purchased on 1 April with a December year‑end, charge 9/12 of the annual depreciation.

Revaluation and disposal: When an asset is revalued, depreciation from the revaluation date is based on the new carrying amount and remaining useful life. Students often forget to adjust depreciation after revaluation. Similarly, on disposal, the depreciation up to the date of sale must be charged before calculating the gain or loss.

3. Bad Debts vs Provision for Doubtful Debts |

A persistent error is writing off a bad debt and simultaneously maintaining a provision that covers the same receivable, effectively double‑counting the expense. Once a specific receivable is identified as irrecoverable, it should be removed from both trade receivables and any existing provision.

Correct treatment: Write off the bad debt (debit Bad Debts, credit Trade Receivables). Then adjust the provision for doubtful debts based on the remaining receivables. The movement in provision (increase or decrease) goes to the income statement. Never include a written‑off debt in the year‑end provision list.

Students also confuse the general provision (a percentage of total receivables) with a specific provision. A specific provision targets identified risky accounts, whereas a general provision covers estimated losses from the portfolio. Both must be considered at the reporting date; failing to do so overstates assets.

4. Accruals and Prepayments Misapplied |

The most basic error is reversing the debit and credit when recording an accrual. An expense accrual increases the expense and creates a current liability: debit Expense, credit Accruals. Students frequently reverse this, showing an asset instead.

For prepayments, the correct entry is debit Prepayments (an asset), credit Expense. A common oversight is forgetting to reverse the opening accrual or prepayment at the start of the next period, which means expenses in the following year are misstated.

Scenario: Rent payable £12,000 per year, pay £10,000 during the year. There is a £2,000 accrual. If a student debits Rent £10,000 and credits Bank £10,000 but ignores the accrual, rent expense is understated and profit overstated. Always use the matching principle: expense recognised = amount consumed, not just amount paid.

5. Inventory Valuation: Applying Lower of Cost and NRV Incorrectly |

Some students apply lower of cost and net realisable value (NRV) to the total inventory figure rather than item by item. IAS 2 requires comparison item by item or group of similar items. Aggregating can mask write‑downs needed for damaged lines.

Another error is confusing NRV with market value or selling price. NRV is estimated selling price less costs to complete and sell. Students may use the retail price without deducting selling costs, overstating closing inventory and profit.

Worked correction: Item A costs £10, selling price £15, selling costs £3, NRV = £15 – £3 = £12. Cost £10 < £12, so inventory stays at £10. Item B costs £20, damaged, expected selling price £18, repair cost £5, NRV = £18 – £5 = £13. Inventory written down to £13. The write‑down (£7) reduces gross profit.

6. Bank Reconciliation: Timing Differences and Errors |

The classic mistake is adjusting the cash book for items that are already correct in the bank statement, such as unpresented cheques. Unpresented cheques are deducted from the bank statement balance in the reconciliation, not adjusted in the cash book, because the cash book has already recorded the payment.

Another error: treating a bank credit (e.g. direct deposit by a customer) as a cash book debit when the bank statement shows a credit. The bank statement reflects the bank’s perspective: a credit is a liability for the bank, meaning the company has more money. In the company’s cash book, a receipt is a debit. Students must correctly identify which side to update.

Reconciliation structure: Start with the updated cash book balance. List unpresented cheques (subtract), outstanding lodgements (add), and correct any bank statement errors. The result should match the bank statement balance. If a cheque has been dishonoured, it must be reversed in the cash book before reconciliation.

7. Control Account Reconciliation: Finding Errors via the Other Account |

Students often think that if the sales ledger control account fails to agree with the total of individual receivables, the error must lie in the control account. In fact, the control account acts as a check on the individual ledger. Discrepancies can be caused by omission of a balance from the list of receivables, arithmetic errors in the list, or posting errors to the control account.

Correct method: First, re‑total the list of individual receivables; second, compare control account entries with source‑book totals; third, check for transposition errors. If a difference is divisible by 9, a transposition error is likely. Common adjustments: correcting the opening balance, recording a contra with the purchases ledger that was posted to only one side, or a bad debt write‑off omitted from the control account.

Reconciliation in the exam: Prepare a statement reconciling the amended control account balance with the corrected total of individual balances. Start with the given balance per control account, list necessary adjustments (e.g. omitted contra, cast error), and derive the corrected figure. Repeat for the list of receivables. The final figures must be equal.

8. Errors Disclosed and Not Disclosed by the Trial Balance |

A severe misconception is believing a balanced trial balance means the accounts are error‑free. It only means total debits equal total credits. Several errors can exist while the trial balance still balances: errors of omission (transaction not recorded at all), commission (correct amount but wrong person’s account), principle (wrong type of account, e.g. debiting expense instead of asset), original entry (wrong figure used in both sides), compensating errors, and complete reversal of entries.

Errors that do cause an imbalance: posting only one side of a transaction, recording two debits or two credits, casting errors in the trial balance, transferring a wrong balance to the trial balance. When investigating a difference, check for a discrepancy equal to exactly half the difference — this suggests a debit posted as credit or vice versa.

Suspense account: If the discrepancy cannot be found quickly, a suspense account is opened to artificially balance the trial balance. Later, when errors are discovered, correcting entries are made through the suspense account. Students need to know how to remove a suspense balance once all errors are corrected.

9. Ratio Analysis: Interpretation, Not Just Calculation |

A recurring loss of marks occurs when students calculate ratios correctly but fail to explain what they mean in context. For example, a fall in the current ratio from 1.8 to 1.4 is not automatically bad — it may indicate better inventory management if the cash cycle has improved.

Misinterpretation of profitability ratios: A rise in gross profit margin could result from higher selling prices or better purchasing. If combined with a sharp decline in sales volume, the business might be losing market share. Similarly, a high trade payables turnover could indicate good credit terms or cash flow difficulties delaying payment. Always link ratio movements to the scenario.

Liquidity vs profitability trade‑off: A very high current ratio may mean excessive inventory or idle cash, which reduces return on capital employed. Students must be prepared to suggest improvements: e.g. reduce credit period offered to customers to improve receivables days, but beware of losing sales.

10. Discounts Allowed and Received: Cash Discount Confusion |

Many students believe that discounts allowed and received are settled at the point of sale, recording the net figure in the books. In reality, cash discount (or settlement discount) is conditional on early payment. The initial sale is recorded gross; if the customer pays within the discount period, the discount allowed is then accounted for as an expense.

The double entry: Sale on credit: debit Trade Receivables, credit Sales Revenue (gross). Upon receipt within discount period: debit Bank (net amount), debit Discount Allowed (the discount), credit Trade Receivables (gross). For discounts received: debit Trade Payables (gross), credit Bank (net), credit Discount Received (income).

Impact on financial statements: Discounts allowed appear in the income statement as an expense (often within selling and distribution costs). Discounts received are shown as other income. A common error is recording the sale net of discount in the receivables account, which overstates the expense when discount is taken and misstates trade receivables. Always record the initial transaction at the full invoice amount.
