📚 Organisation and Management |
In any business, effective organisation and management are essential for turning resources into results. This article explores the key concepts of business organisation, management roles, leadership styles, and the structures that help companies run smoothly.
1. What is Organisation and Management? |
Organisation refers to the way a business arranges its people and resources to achieve its goals. Management is the process of planning, organising, leading and controlling resources to meet objectives efficiently and effectively.
Good organisation creates clear lines of authority and communication. Management brings together human, physical and financial resources to produce goods or services. Without organisation, employees may be confused about their duties; without management, there would be no direction or coordination.
2. Key Management Functions |
Management is usually described as having four key functions:
- Planning – setting objectives and deciding how to achieve them.
- Organising – arranging resources and tasks into a structure. |
- Leading – motivating and directing employees to work towards goals. |
- Controlling – measuring performance and taking corrective action. |
These functions are interlinked. A manager must plan before organising, and must lead while controlling. In small businesses, one person may perform all four functions, but in larger organisations, these tasks are divided among different levels of management.
3. Organisational Structure |
Organisational structure shows the formal arrangement of jobs and authority within a business. It is often drawn as an organisational chart. The chart shows who reports to whom and how tasks are divided.
Key features of an organisational structure include:
- Hierarchy – the levels of management from top to bottom. |
- Span of control – the number of subordinates directly managed by one manager. |
- Chain of command – the path through which instructions pass from top to bottom. |
- Delegation – passing authority and responsibility down the hierarchy. |
A tall structure has many levels and a narrow span of control. A flat structure has few levels and a wide span of control. Each type has advantages and disadvantages, as shown below.
4. Centralisation vs Decentralisation |
Centralisation means that decision-making authority is kept at the top of the organisation. Decentralisation means that authority is delegated to lower levels, such as regional managers or team leaders.
Centralised decision-making is consistent and easy to control, but it can be slow and demotivating for employees. Decentralised decision-making allows quicker responses to local conditions and empowers employees, but it may lead to inconsistent decisions and loss of control.
In IGCSE Business, you should be able to explain how a business might choose between these two approaches depending on its size, culture and the nature of its markets.
5. Roles of Managers |
Managers at different levels have different roles. Senior managers (directors) set long-term objectives and make major strategic decisions. Middle managers (department heads) turn strategic plans into action plans. Junior managers (team leaders or supervisors) oversee day-to-day operations and directly support workers.
Key managerial roles include setting targets, allocating resources, coordinating departments, motivating staff, and reporting performance to higher levels. Effective managers need technical skills, human skills and conceptual skills.
6. Leadership Styles |
Leadership is the ability to influence and motivate people to achieve goals. Different situations require different leadership styles. The main styles are:
- Autocratic – manager makes all decisions alone, with little input from employees. |
- Democratic – manager involves employees in decision-making and listens to their opinions. |
- Laissez-faire – manager gives employees full freedom to make decisions and complete tasks. |
Each style has advantages and disadvantages. Autocratic leadership can be efficient in crises but may demotivate skilled workers. Democratic leadership increases commitment but can be slow. Laissez-faire works well with experienced professionals but may lead to lack of direction.
7. Delegation and Accountability |
Delegation involves giving a subordinate the authority and responsibility to perform a specific task. The manager remains accountable for the final outcome, meaning the manager must still answer for results.
Effective delegation has many benefits: it develops employees’ skills, reduces managers’ workload, and speeds up decision-making. However, some managers are reluctant to delegate because they fear losing control or believe employees lack competence.
Accountability cannot be delegated. A manager who delegates a task to an employee still bears responsibility for whether the task succeeds or fails. This is an important distinction in business studies.
8. Communication in Organisations |
Effective communication is vital for coordination. Communication can flow in different directions:
- Downward – from managers to employees (instructions, feedback). |
- Upward – from employees to managers (reports, suggestions). |
- Horizontal – between employees at the same level. |
Barriers to communication include jargon, poor listening, cultural differences, and long chains of command. Removing such barriers improves efficiency and morale.
In a tall hierarchy, messages may be distorted as they pass through many layers. Flatter structures often improve communication, but they may overload managers with too many direct reports.
9. Motivation and Management |
Managers must motivate employees to work productively. Key motivation theories in IGCSE Business include Taylor’s scientific management (money is the main motivator) and Maslow’s hierarchy of needs (people have different levels of needs from basic pay to self-actualisation).
Financial rewards such as bonuses and commission can motivate workers. Non-financial methods such as job rotation, job enrichment, empowerment and recognition also play an important role. A good manager uses a mix of methods suited to the workforce.
10. Organisational Charts and Matrix Structures |
An organisational chart is a diagram that shows the structure of a business. It helps employees understand their position, who they report to, and how departments connect. In a simple hierarchy, each employee has one clear boss.
Some businesses use a matrix structure, where employees report to two managers – a functional manager and a project manager. This structure improves flexibility and communication but can cause confusion because of dual authority.
For IGCSE, you need only a basic understanding of charts and structures, but you should be able to draw or interpret a simple chart and explain the advantages and disadvantages of different structures.
