1. What is Accounting? | 什么是会计?

Accounting is the systematic process of recording, classifying, summarising, and interpreting financial transactions. Its main purpose is to provide useful information to help people make informed business decisions. Accountants track money coming in and going out, and they prepare reports that show how well a business is performing.

2. The Accounting Equation | 会计等式

The accounting equation is the foundation of the entire accounting system. It states that a business’s resources (assets) are always equal to the claims against those resources (liabilities plus owner’s equity). This relationship must stay in balance at all times.

3. Assets | 资产

Assets are resources controlled by a business as a result of past events and from which future economic benefits are expected to flow to the business. In simple terms, assets are what the business owns or has the right to use, such as cash, equipment, and premises.

Assets are divided into two main categories. Current assets are those expected to be turned into cash or used up within one year, such as cash at bank, trade receivables (debtors), and inventory. 4. Liabilities | 负债

Liabilities are present obligations of a business arising from past events, the settlement of which is expected to result in an outflow of resources. In other words, liabilities are what the business owes to others, such as loans and unpaid bills.

Similar to assets, liabilities are split into current and non-current. Current liabilities are due to be paid within one year, for example trade payables (creditors), bank overdrafts, and short-term loans. Non-current liabilities are long-term debts that do not need to be repaid within the next year, like a five-year bank loan.

5. Owner’s Equity | 所有者权益

Double-entry bookkeeping means that every financial transaction affects at least two accounts. For each transaction, the total amount debited must equal the total amount credited. This system keeps the accounting equation in balance and makes it easier to detect errors.

For example, when the owner invests cash of $5 000 into the business, the Cash account (an asset) is debited, and the Capital account (equity) is credited. 7. The General Journal | 普通日记账

The general journal, often simply called the journal entry, is the first place where transactions are recorded in chronological order. Each journal entry shows the date, the accounts to be debited and credited, a brief narrative, and the amounts. This record is called the book of original entry.

普通日记账,通常简称为日记账分录,是按时间顺序首次记录交易的地方。每一笔日记账分录都列明日期、应借记和应贷记的账户、简要说明以及金额。这种记录被称为原始分录簿。

A typical journal layout includes: Date, Details (account names), Debit column, Credit column, and Narration. The account to be debited is written first, flush left; the account to be credited is written next, indented slightly. The narration explains the transaction briefly.

For instance, on 1 March a business buys a computer for $1 200 in cash. The journal entry would be:

8. Ledger Accounts | 分类账

After transactions are recorded in the journal, the next step is to post them to ledger accounts. A ledger is a collection of T-accounts, each representing a different item such as Cash, Sales, or Rent Expense. The left side of a T-account is the debit side, and the right side is the credit side.

9. The Trial Balance | 试算平衡表

A trial balance is a list of all ledger account balances at a particular date, divided into debit and credit columns. Its main purpose is to check the arithmetic accuracy of the double-entry records. If total debits equal total credits, the books are said to ‘balance’.

试算平衡表是列示某一特定日期所有分类账户余额的清单,分为借方栏和贷方栏。其主要目的是检查复式记账记录的算术准确性。如果借方总额等于贷方总额,账簿就被认为是‘平衡的’。

Even when the trial balance balances, errors may still exist. For example, a transaction might be completely omitted, entered twice, or posted to the wrong account. These errors do not affect the equality of debits and credits but will distort financial statements. A trial balance is therefore a useful but not an absolute proof of accuracy.

A simple income statement for a service business starts with revenue, for example fees earned. Then various expenses are listed and subtracted: wages, rent, stationery, and electricity, among others. The result is the net profit or net loss for the period.

Net Profit = Total Revenue – Total Expenses

In Year 7, you will also learn that expenses are matched to the period in which they are used, not necessarily when they are paid. This is the matching principle. For example, rent for December paid in November is still an expense for December.

11. The Statement of Financial Position | 财务状况表

This statement is set out in a clear format. Non-current assets are listed first, such as equipment and vehicles, followed by current assets like inventory and cash. Finally, the owner’s equity section shows the closing capital, calculated as opening capital plus profit less drawings.

Expenses are costs incurred in running the business.
