Double-entry bookkeeping is a method of recording transactions where every financial event has a dual effect on the accounting equation. For every debit entry, there must be an equal and corresponding credit entry. The rules are: to increase an asset, debit the account; to decrease an asset, credit the account. To increase a liability or capital, credit the account; to decrease a liability or capital, debit the account. Income is recorded as a credit because it increases capital; expenses are recorded as debits because they decrease capital.

The sales ledger records individual credit customer accounts (trade receivables), and the purchases ledger records individual credit supplier accounts (trade payables).

If they do not agree, it indicates one or more errors have occurred.

The layout begins with sales revenue, less sales returns, to give net sales. Then cost of sales is deducted. Cost of sales is opening inventory plus purchases less purchases returns, plus carriage inwards, less closing inventory. Gross profit is net sales minus cost of sales.

Expenses include rent, wages, motor expenses, depreciation, bad debts, and so on. The result is profit for the year (or net profit). OCR expects students to prepare a full income statement from given trial balance figures and adjustments.
