If the debit side is larger, you have a debit balance (e.g., an asset or expense); if the credit side is larger, a credit balance (e.g., a liability or income). Then bring down (b/d) the balance to the opposite side for the next period, clearly labelling each stage.

However, a balanced trial balance does not guarantee there are no errors – errors of omission, commission, principle, and compensating errors may still exist unseen.

Treat error-finding as a puzzle that sharpens your attention to detail.

6. Income Statement | 利润表

The income statement (also called the profit and loss account) calculates the profit or loss for a period. It starts with revenue (sales), less sales returns, to arrive at net sales. Then subtract cost of sales: opening inventory + purchases – purchase returns + carriage inwards – closing inventory. This gives gross profit. Then deduct operating expenses such as rent, wages, heat and light, and depreciation to find net profit.

利润表(亦称损益表)计算某一期间的利润或亏损。首先列出销售收入,减去销售退回得到净销售收入。然后计算销售成本:期初存货 + 购货 – 购货退回 + 购货运费 – 期末存货,得出毛利润。再扣除各项经营费用,如租金、工资、供暖和照明以及折旧,求出净利润。

Pay close attention to the classification of items. Only costs directly linked to buying or producing goods belong in cost of sales; all other expenses are operating expenses. When practising, prepare a vertical-format income statement with clear headings, and always show your workings for cost of sales. Many marks are awarded for correct presentation, not just the final figure.

Non-current assets such as machinery and vehicles come first, then current assets such as inventory, trade receivables, and cash. Deduct current liabilities (trade payables, bank overdraft) to find net current assets. If there are non-current liabilities, they are shown separately before arriving at net assets, which should equal total capital.

财务状况表(资产负债表)反映企业在某一特定时点的资产、负债和资本状况,遵循会计等式。先列示非流动资产,如机器、车辆;再列示流动资产,如存货、应收账款和现金。减去流动负债(应付账款、银行透支)得到净流动资产。如有非流动负债,单独列示,最终得出净资产,净资产应等于总资本。

The capital section is calculated as opening capital + net profit – drawings. Always ensure that the two sides of the statement agree. Practice the layout until it becomes automatic, and be mindful of grouping items correctly. For example, bank overdraft is a current liability, not a negative cash balance. Mastering this statement gives you a complete picture of a business’s financial health.

Common reconciling items include unpresented cheques (issued but not yet cleared), outstanding deposits (lodged but not yet credited), bank charges, direct debits, and standing orders. The aim is to arrive at an adjusted cash book balance that truly reflects the business’s available cash.
