1. The Fundamentals of Accounting and the Accounting Equation | 会计基本概念与会计方程式

Accounting is the process of recording, classifying, and summarising financial transactions to provide useful information for decision-making. It tracks the financial performance and position of a business.

会计是对财务交易进行记录、分类和汇总的过程,旨在为决策提供有用信息。它追踪企业的财务业绩和财务状况。

The accounting equation forms the foundation of the double-entry system: Asset = Capital + Liabilities. This can be expanded to Asset = Capital + Liabilities + (Income – Expenses) to reflect the effect of trading results.

2. Double-Entry Bookkeeping and General Ledger | 复式记账与总分类账

Every transaction has a dual effect and is recorded using the double-entry principle: for every debit entry, there must be an equal and opposite credit entry.

The rules of double-entry: Assets and expenses increase on the debit side, while liabilities, capital, and income increase on the credit side.

4. The Trial Balance | 试算表

A trial balance is a list of all ledger account balances at a specific date, with debit and credit columns. Its purpose is to check the arithmetic accuracy of the double-entry records.

If total debits equal total credits, the trial balance is in balance. However, a balanced trial balance does not guarantee that no errors exist, as errors of omission, commission, principle, and compensating errors may still be present.

5. The Income Statement | 利润表

The income statement is prepared to determine the profit or loss of a business for an accounting period. The basic structure is: Sales – Cost of sales = Gross profit; then add other income and deduct expenses to arrive at net profit.

利润表用于确定企业一个会计期间的利润或损失。基本结构是:销售收入 – 销售成本 = 毛利;然后加上其他收入并扣除费用,得出净利润。

Sales are recorded net of returns (sales returns). Cost of sales is calculated as: Opening inventory + Purchases – Purchase returns + Carriage inwards – Closing inventory.

Expenses are categorised as selling and distribution costs, administrative expenses, and finance costs. Accruals and prepayments must be accounted for to ensure all expenses and income are matched to the period.

6. The Statement of Financial Position | 资产负债表

The statement of financial position shows the assets, liabilities, and capital of a business at a specific date, reflecting the accounting equation.

Non-current assets are items held for long-term use (e.g., property, machinery), while current assets are expected to be converted into cash within one year (e.g., inventory, trade receivables, bank).

7. Depreciation | 折旧

Depreciation is the systematic allocation of the cost of a non-current asset over its useful life, matching the cost to the revenue it generates. Two common methods are the straight-line method and the reducing balance method.

Straight-line depreciation = (Cost – Residual value) / Useful life. Reducing balance method applies a fixed percentage to the net book value (cost less accumulated depreciation) each year.

The accounting entry for depreciation is: Debit Depreciation expense (income statement), Credit Accumulated depreciation (statement of financial position). The asset is shown at net book value.

8. Irrecoverable Debts and Provision for Doubtful Debts | 坏账与坏账准备

An irrecoverable debt arises when a customer fails to pay, and the amount is written off. The entry is: Debit Irrecoverable debts expense, Credit Trade receivables.

坏账发生于客户无法付款时,需注销该金额。分录为:借记坏账费用,贷记应收账款。

A provision for doubtful debts is an estimate of potential future bad debts, created to present trade receivables at a prudent net realisable value. It is adjusted each period; only the increase or decrease is charged to the income statement.

坏账准备是对未来潜在坏账的估计,用于将应收账款以审慎的可变现净值列示。每期调整准备,仅将增加额或减少额计入利润表。

The balance in the provision for doubtful debts account is deducted from trade receivables in the statement of financial position.

9. Accruals and Prepayments | 应计与预付款项

The matching principle requires that expenses and income are recorded in the period to which they relate. Accruals and prepayments ensure this.

An accrued expense is an expense incurred but not yet paid, so an accrual liability is recognised: Debit Expense, Credit Accruals (liability). Example: unpaid rent at year-end.

A prepayment is an expense paid in advance, recognised as a current asset: Debit Prepayment, Credit Expense (reducing current year expense). The adjustment ensures the expense in income statement reflects the correct consumption.

10. Bank Reconciliation | 银行对账

A bank reconciliation compares the cash book balance with the bank statement balance to identify differences and ensure both records are correct. Differences arise from timing differences (unpresented cheques, deposits in transit) and errors or omissions.

银行对账将现金簿余额与银行对账单余额进行比较,找出差异并确保双方记录正确。差异源于时间性差异(未兑现支票、在途存款)及错误或遗漏。

Steps: 1. Update the cash book for items on the bank statement not yet recorded (bank charges, direct debits, interest). 2. Prepare the bank reconciliation statement starting from the updated cash book balance, adding unpresented cheques and subtracting outstanding deposits, or vice versa, to arrive at the bank statement balance.

11. Control Accounts | 控制账户

Control accounts are summary accounts kept in the general ledger for trade receivables and trade payables, built from totals of books of prime entry. They act as checks on the accuracy of the individual ledger accounts.

控制账户是总账中对应收账款和应付账款设立的汇总账户,由特种日记账总额过账形成。它们用于检查个人明细账的准确性。

The sales ledger control account (trade receivables) starts with opening balance, adds credit sales, and subtracts cash received, discounts allowed, returns, and bad debts. The ending balance should equal the total of individual receivables accounts.

销售分类统制账户(应收账款)以期初余额开始,加上赊销金额,减去收到的现金、给予的折扣、退货和坏账。期末余额应与各应收账款明细账余额合计数相等。

Similarly, the purchases ledger control account (trade payables) records total credit purchases, cash paid, discounts received, and returns. Differences indicate errors that must be investigated.

同样,采购分类统制账户(应付账款)记录赊购总额、支付现金、获得折扣和退货。如有差异则表明存在须调查的错误。


12. Correction of Errors and Suspense Account | 错误更正与暂记账户

Errors that do not affect the trial balance agreement include: omission, commission, principle, original entry, compensating, and complete reversal. These require journal entries to correct.

不影响试算表平衡的错误包括:遗漏、记账错误、原则错误、原始分录错误、抵消错误和完全颠倒。这些需要通过会计分录来更正。

When a trial balance does not balance, a suspense account is opened with the difference. The error causing the difference must be located, and journal entries are made to clear the suspense account and correct the error.

Example of a correction: if a purchase of equipment was wrongly debited to purchases instead of equipment, correct by: Debit Equipment, Credit Purchases (suspense may be used if imbalance). Thus, accuracy is restored.
