IGCSE AQA Accounting: Key Points for Practical Assessment | IGCSE AQA

📚 IGCSE AQA Accounting: Key Points for Practical Assessment | IGCSE AQA

In the IGCSE AQA Accounting specification, practical skills are assessed primarily through Paper 2, where you are required to demonstrate competence in maintaining accounting records, adjusting entries, and preparing financial statements. This component tests your ability to apply double-entry principles, correct errors, and interpret numerical information in real-world scenarios. Mastering these hands-on techniques is essential not only for high marks but also for developing a genuine understanding of how businesses manage their finances.

1. Understanding the Assessment Objectives |

The practical paper is built around three assessment objectives (AOs). AO1 tests your knowledge of accounting terms and procedures. AO2 requires you to apply that knowledge to given data, such as entering transactions into ledger accounts. AO3 evaluates your ability to analyse and interpret financial information, often by selecting relevant ratios or commenting on business performance. Knowing the weight of each objective helps you allocate your revision time wisely.

AO2 and AO3 dominate the practical paper, so you should practise completing records and drawing conclusions from the figures you produce. Always check that your answer demonstrates the skill being examined – a neat trial balance may earn AO2 marks, while a clear statement comparing two years’ gross profit margins will address AO3.

2. Mastering Double-Entry Bookkeeping |

The foundation of all practical work is double-entry bookkeeping. Every transaction affects two accounts – one debit and one credit. For example, when a business buys inventory for cash, you debit Purchases and credit Cash. When a sale is made on credit, you debit the customer’s account (Trade Receivables) and credit Sales. Being fluent in these rules means you can handle any journal entry without hesitation.

A common pitfall is confusing the nature of accounts. Assets, expenses, and drawings increase with debits; liabilities, capital, and income increase with credits. Practise by drawing T-accounts and record a series of mixed transactions. Over time, the rhythm of ‘debit the receiver, credit the giver’ will become second nature.

3. Preparing Ledger Accounts and Trial Balance |

After journal entries, you must post totals to the general ledger and extract a trial balance. The trial balance is a list of all ledger balances at a particular date, with debit balances on the left and credit balances on the right. Its purpose is to check the arithmetic accuracy of the double-entry system. A trial balance that balances does not guarantee there are no errors, but it is a vital control tool.

In the exam you may be given a trial balance that fails to balance and be asked to identify errors. Look for common mistakes such as a one-sided entry, transposition errors (e.g., 54 written as 45), or omitted accounts. In practice questions, always enter figures neatly in columns and use a ruler; marks are awarded for presentation.

4. Adjusting Entries: Accruals, Prepayments, Depreciation |

At the end of a financial period, adjusting entries are needed to apply the accruals concept. Expenses may be accrued (incurred but not yet paid) or prepaid (paid in advance). For an accrued expense, you debit the expense account and credit Accruals (a liability). For a prepayment, debit Prepayments (an asset) and credit the expense account. These adjustments ensure that the correct expense is charged to the income statement.

Non-current assets must be depreciated. The two common methods are straight-line and reducing balance. Straight-line depreciation spreads the cost equally over useful life: annual charge = (Cost – Residual Value) ÷ Useful Life. The reducing balance method applies a fixed percentage to the net book value each year. Always show workings clearly; examiners will award method marks even if the final figure is slightly off.

5. Dealing with Irrecoverable Debts and Allowances |

When a customer fails to pay, the debt becomes irrecoverable. You write it off by debiting Irrecoverable Debts (an expense) and crediting Trade Receivables. If a provision for doubtful debts is maintained, you adjust it at the year end. An increase in provision debits the expense and credits the Provision for Doubtful Debts. A decrease does the reverse. Remember that the provision is an estimate against trade receivables, reducing their net realisable value.

In a practical exam you may be asked to calculate the increase or decrease in provision after writing off specific debts. Read the question carefully: does it ask for a provision based on a percentage of remaining trade receivables? If so, deduct any irrecoverable debts first, then apply the percentage, and compare with the existing balance in the provision account.

6. Bank Reconciliation |

A bank reconciliation statement compares the balance in the cash book with the balance on the bank statement at the same date, and explains the differences. Typical reasons for discrepancies include unpresented cheques, outstanding lodgements, and bank charges or interest not yet recorded in the cash book. Starting from the updated cash book balance, you add unpresented cheques and deduct outstanding lodgements to arrive at the bank statement balance.

In the exam, always update the cash book first for items such as direct debits, standing orders, and bank interest. Only then should you attempt the reconciliation. The starting figure is the corrected cash book balance. A common mistake is to begin with the bank statement balance and work backwards; this will lose marks if the question asks for the updated cash book balance first.

7. Correction of Errors and Suspense Account |

Not all errors are revealed by the trial balance. Errors of omission, commission, principle, complete reversal, and original entry may still allow the trial balance to balance. Errors that cause an imbalance (e.g., a single entry or a transposition error) are corrected through a suspense account. To clear the suspense account, you journal the correcting entry involving the relevant accounts and the suspense account itself.

When dealing with correction of errors in the practical paper, redraft the affected journal entries clearly. Show the account debited and credited, and the amount. After all corrections, the trial balance should balance. If the question asks for a corrected net profit, trace the effect of each error on profit: an overstated expense understates profit, and an understated sale understates profit.

8. Preparing Financial Statements for Sole Traders |

The income statement (or statement of profit or loss) and the statement of financial position are the principal final accounts for a sole trader. The income statement matches revenue with expenses to determine profit or loss for the period. The statement of financial position lists assets, liabilities, and capital as at the end of the period, and must balance in accordance with the accounting equation: Assets = Capital + Liabilities.

In the exam, you will often be provided with a trial balance and a set of adjustments. Incorporate each adjustment into the relevant statement. For example, closing inventory reduces cost of sales in the income statement and appears as a current asset in the statement of financial position. Accruals and prepayments affect both statements. Use a systematic approach: draft the income statement first up to the profit figure, then complete the statement of financial position.

Component Income Statement Statement of Financial Position
Closing inventory Deducted from cost of sales Current asset
Accrued expense Added to expense Current liability
Prepaid expense Deducted from expense Current asset

9. Introduction to Partnerships: Appropriation Account |

AQA IGCSE introduces some basic partnership accounting. You need to prepare a partnership appropriation account, which shows how the net profit is shared among partners. Typical terms include interest on capital, interest on drawings, and partners’ salaries. The remaining profit (or loss) is shared in the agreed profit-sharing ratio. The appropriation account is a continuation of the income statement, not a separate statement.

AQA IGCSE

Partners’ current accounts record the shares of profit, drawings, interest on drawings, and any additional contributions. A debit balance on a current account means the partner has overdrawn his or her share. Understand how these items flow between the appropriation account and current accounts, as this is frequently examined.

10. Accounting for Non-Profit Organisations: Receipts & Payments |

Non-profit organisations such as clubs and societies often maintain a receipts and payments account. This is a summary of the cash book, recording all cash received and paid during the period. It is not an income statement because it includes capital items and is on a cash basis rather than an accruals basis. The closing balance represents cash at bank and in hand.

To convert a receipts and payments account into an income and expenditure account (the equivalent of an income statement), you must adjust for accruals, prepayments, depreciation, and non-cash items like profit or loss on sale of assets. The difference between income and expenditure is surplus or deficit. Practise this conversion; exam questions often give a receipts and payments account plus notes to prepare the income and expenditure account.

11. Interpretation of Financial Statements Using Ratios |

Practical assessment also includes calculating and commenting on accounting ratios. Profitability ratios such as gross profit margin and net profit margin measure a business’s ability to generate profit from sales. Liquidity ratios like current ratio and quick (acid test) ratio assess the ability to meet short-term obligations. These ratios bring meaning to the raw financial figures.

Gross Profit Margin = (Gross Profit ÷ Sales) × 100%

Current Ratio = Current Assets ÷ Current Liabilities

When interpreting ratios, always compare to previous periods or industry averages. For example, a rising gross profit margin might indicate better inventory management or higher selling prices. A declining current ratio below 1.0 signals potential liquidity problems. Examiners look for specific comments tied to the calculated figures, not generic statements.

12. Using Control Accounts |

Control accounts are summary accounts for trade receivables and trade payables. The sales ledger control account reflects total credit sales, receipts from customers, returns, and irrecoverable debts. The purchases ledger control account captures total credit purchases, payments to suppliers, and returns outwards. They act as a check on the individual ledgers and are often prepared as part of a trial balance.

In the practical exam, you might be asked to complete a control account from given invoice totals, credit notes, receipts, and discount information. Start by entering the opening balance, then add credit sales or purchases, deduct any cash received or paid, deduct returns, and deduct discount allowed or received. The closing balance should agree with the total of individual customer or supplier accounts.

Memorise the pro-forma entries for both control accounts. For a sales ledger control, debit side typically shows opening balance receivable and credit sales; credit side shows receipts, returns, and irrecoverable debts. Reversals of an overstatement are also common adjustments. Small careless errors can produce a mismatch, so double-check each entry against the narrative in the question.
