Organisation structure is the internal framework that defines how tasks are divided, grouped and coordinated within a business. It determines reporting relationships, authority levels and communication channels, shaping both efficiency and employee behaviour. A well-designed structure aligns resources with objectives, while a poor structure can cause delay, conflict and low motivation.

组织架构是企业内部框架,规定了任务如何划分、组合与协调。它决定了汇报关系、权限层级和沟通渠道,既影响效率,也塑造员工行为。设计良好的架构能使资源与目标相匹配,而不良架构则会导致延误、冲突和员工动力不足。

An organisation chart is a visual representation of this structure. Rectangles show positions or departments, and connecting lines show the formal reporting relationships. Managers use organisation charts to clarify roles, identify bottlenecks and plan restructuring.

1. What Is Organisation Structure? | 什么是组织架构?

Organisation structure refers to the formal arrangement of roles, responsibilities and reporting lines within a business. Its purpose is to coordinate activities, allocate authority, support decision-making and enable control, so that the business can achieve its objectives efficiently.

组织架构指的是企业内角色、职责和汇报关系的正式安排。其目的是协调活动、分配权限、支持决策并实现控制,从而使企业能够高效地达成目标。

Structure is not fixed forever. As a business grows, changes strategy or enters new markets, it may restructure to remain competitive. For example, a start-up may begin with a very flat, informal structure and later adopt a functional or divisional structure.

Three core concepts are used to describe organisation structures: hierarchy, chain of command and span of control. The chain of command is the formal line through which instructions pass downwards and accountability flows upwards.

3. Tall and Flat Structures | 高长型与扁平型架构

A tall structure has many levels of hierarchy and narrow spans of control. It creates clear promotion routes and allows close supervision, but communication can be slow because messages must pass through many layers. Tall structures also tend to have higher management costs because many managers are employed.

4. Functional Structure | 职能制架构

A functional structure groups employees according to business functions such as marketing, finance, operations and human resources. Each function is led by a specialist manager, and all employees within that function report through their functional line.

职能制架构按照营销、财务、运营和人力资源等业务职能对员工进行分组。每个职能由专业管理者领导,该职能内的所有员工都沿职能线进行汇报。

The main advantages are specialisation, efficiency and clear accountability within each department. Employees can develop deep expertise, and resources are not duplicated across functions. A divisional structure groups activities by product, region or customer type. Each division usually contains its own marketing, finance and operations functions, so it can operate as a semi-independent business unit. This structure is common in large, diversified firms such as multinational corporations.

Divisional structures allow each division to focus closely on its own market and respond quickly to local conditions. A matrix structure combines two reporting lines, usually functional and project-based or product-based. Employees may report to both a functional manager and a project manager at the same time. This structure is often used in knowledge-intensive industries such as engineering, consultancy and software development.

The main benefit is flexibility. Specialists can be shared across projects, communication between functions improves, and the business can respond quickly to changing customer needs. However, dual reporting can create role ambiguity, conflict between managers and slower decision-making, because employees may receive conflicting instructions.

Centralisation means that decision-making authority is concentrated at the top of the organisation, usually with senior management. Decentralisation means that authority is delegated to lower levels of the hierarchy, giving regional managers, branch managers or team leaders more power to make decisions.

集权意味着决策权集中在组织高层,通常由高级管理层掌握。分权意味着将权力下放到较低层级,使区域经理、分公司经理或团队负责人拥有更多决策权。

Centralisation ensures consistency, strong control and clear direction, which can be important for maintaining brand standards or managing risk. Decentralisation empowers employees, speeds up local decision-making and improves motivation, but it can lead to inconsistency and a loss of central control.

8. Delegation and Authority | 授权与职权

Delegation is the process of assigning authority and responsibility to subordinates while remaining accountable for the outcome. It is not the same as abdication, because the manager still retains ultimate responsibility. Effective delegation requires clear instructions, appropriate resources and a suitable level of trust.

授权是将职权和职责分配给下属、同时仍对结果负责的过程。它不同于放任不管,因为管理者仍然承担最终责任。有效授权需要清晰的指示、适当的资源和适度的信任。

Delegation benefits the business by freeing senior managers to focus on strategic tasks. It also develops subordinates’ skills, increases motivation and improves succession planning. Delayering is the removal of one or more layers of management from the organisational hierarchy. It makes the structure flatter and is often undertaken to reduce costs, improve communication and speed up decision-making. Many businesses delayered during periods of restructuring or technological change.

Delayering can lower fixed costs by reducing the number of management salaries, and it can remove bureaucracy. However, remaining managers often face wider spans of control and heavier workloads. Several factors influence the choice of organisation structure. Size is important: as a business grows, it usually needs more formal hierarchy and clearer reporting lines. Large firms may adopt divisional or matrix structures to manage complexity and diversity.

The external environment also matters. In stable markets, a traditional functional or tall structure may work well. Technology can enable wider spans of control by improving communication and monitoring, while the firm’s strategy, culture and leadership style also shape how much authority is kept at the top or delegated downwards.

The informal organisation refers to the network of personal relationships, friendships and unofficial communication that exists alongside the formal structure. It is not shown on an organisation chart, but it can significantly influence how work is actually done.

非正式组织是指在正式架构之外存在的个人关系、友谊和非正式沟通网络。它不显示在组织结构图上,但可以显著影响实际工作的完成方式。

Informal groups can speed up communication, provide social support and improve morale. However, they can also spread rumours, resist change and undermine formal authority if their goals conflict with those of the business. Effective managers recognise the informal organisation and try to align it with formal objectives rather than ignore it.

There is no single best organisational structure. The most suitable structure depends on the firm’s size, strategy, environment, technology and workforce. A structure that works for a small start-up may be inappropriate for a large multinational, and vice versa.

不存在唯一最佳的组织架构。最合适的架构取决于企业的规模、战略、环境、技术和员工队伍。适合小型初创企业的架构可能不适合大型跨国公司,反之亦然。

Businesses often combine elements of different structures, for example using a functional base within each division or adding project teams to a functional structure. Successful structure management requires balancing control with flexibility, specialisation with coordination, and cost efficiency with employee motivation. Regular review and restructuring may be necessary as conditions change.
