An income statement is a financial report that shows a business’s revenue, costs and profit over a specific period of time, usually one year. It is one of the most important documents used by managers, shareholders and lenders to judge business performance.

1. What Is an Income Statement? | 什么是损益表?

The income statement, also called a profit and loss account, summarises the trading activities of a business. It records money earned from selling goods or services and subtracts all the costs incurred to earn that money.

For Cambridge IGCSE Business Studies, you need to understand three main profit figures: gross profit, operating profit or profit for the year. These appear in a standard income statement layout.

2. Purpose of Income Statements | 损益表的用途

Income statements are prepared for several reasons. First, they help managers see whether the business is making a profit or a loss. Second, they allow shareholders to decide whether to keep investing. Third, banks use them to assess whether a business can repay loans.

An income statement contains key items: revenue, cost of sales, gross profit, expenses and profit for the year. Each item has a specific meaning and calculation.

  • Revenue: the total amount received from selling goods or services before any costs are deducted.

  • Gross profit: revenue minus cost of sales.

4. Gross Profit Calculation | 毛利计算

Gross profit measures how efficiently a business sells its products. It focuses only on the direct cost of producing the goods.

Gross profit = Revenue − Cost of sales

Cost of sales is often calculated as opening inventory plus purchases minus closing inventory. This ensures the profit matches the goods actually sold in the period.

Cost of sales = Opening inventory + Purchases − Closing inventory

5. Profit for the Year | 年度利润

Profit for the year, also called net profit, is the amount left after deducting all other expenses from gross profit. These expenses include rent, salaries, insurance, marketing and depreciation.

Profit for the year = Gross profit − Expenses

The table below shows a typical income statement layout. Notice that costs are shown in brackets, meaning they are subtracted.

In this example, the business turned 100,000 of revenue into 25,000 of final profit. This is a profit margin of 25%.

7. Gross Profit Margin | 毛利率

Businesses do not just look at profit in absolute terms; they also calculate profit margins to compare performance. The gross profit margin shows gross profit as a percentage of revenue.

Gross profit margin = (Gross profit ÷ Revenue) × 100%

The profit margin for the year (net profit margin) is another important ratio. It measures how much of each dollar of revenue remains after all expenses.

Profit margin for the year = (Profit for the year ÷ Revenue) × 100%

In the example, profit margin for the year = (25,000 ÷ 100,000) × 100% = 25%. A higher margin usually means the business is efficient in controlling costs.

9. Uses of Income Statements | 损益表的用途分析

There are many groups who use income statements. Shareholders use them to decide whether to keep or sell their shares. Managers use them to identify areas where costs are too high. Lenders use them to check creditworthiness.

Comparing income statements over several years helps a business spot trends. If gross profit margin falls but revenue stays the same, the business may be paying more for materials. If expenses rise sharply, managers should investigate why.

10. Limitations of Income Statements | 损益表的局限性

Despite their usefulness, income statements have limitations. First, they show historical data and may not predict future performance. Second, profit is affected by accounting decisions such as depreciation methods and inventory valuation.
